- WHAT IS KEEPING TRACK?
-
- KEEPING TRACK is a very easy-to-use, instant-access information
- management system. Think of it as a lightning-fast index card system
- that allows you to locate information by up to ten key words, or
- alternately by any phrase that exists in the card (ie "Show me all
- cards that contain the phrase 'insurance'").
- KEEPTING TRACK offers two filing methods: free form index card
- and flat form (consistent information types) database. This provides
- you with maximum flexibility in your information storage methods.
- Registered users also gain the additional power of a custom report
- generator that allows them to perform mathematical calculations on
- values entered into the card file.
- Keeping Track allows you to keep track of information without
- having to build complex files. You can instantly locate any card by
- entering in a word or phrase from that card. This makes Keeping Track
- the "friendliest" information tracking system you will ever find.

- THE COMPANION PROGRAMS
- Our first program the AMAZING FILE CABINET originally sold for
- $95. When we wrote KEEPING TRACK, we soon realized that these two
- programs belonged together. Then to add to the bundle, we also
- decided to include our ADDRESSER, as well as build a lot more power
- into that package.
- So here we have the KEEPING TRACK trio. But do you use KEEPING
- TRACK or the AMAZING FILE CABINET for your data?

- If your data takes the form of an index card type system in which
- all the data can fit on one screen, you want to use KEEPING TRACK. If
- your data requires more space than one screen, use AFC.
- If you wish to perform calculations on any field in your database,
- you need to use AFC. Keeping Track will perform calculations only on
- the ten calculation fields at the bottom of each "card".
- If you need to perform calculations on calculations as well as
- running totals, you need to use AFC rather than Keeping Track.
- Bottom line, Keeping Track is the "quick and dirty" system that
- acts like an index card system on caffeine.
- ACR however, is a more complex but much more versatile system that
- acts like a large index card system on steroids. Keeping Track is
- easier to use but less powerful. ACR requires more planning in the
- design stages but offers you much more power. The choice is yours.

- Database is a term which means "a collection of related
- information". All of us use databases in our everyday lives. Every
- time you open a telephone book or use an index card file, you are
- using a database. The KEEPING TRACK system contains three databases:
-
- * KEEPING TRACK allows you to track all that random information
- you've been needing to access, but didn't know how. It is an "index
- card on caffeine". There is no prior formatting of forms, no
- essential entry methods. Just type and save. Search for information
- by any word on the card, quickly and easily. Or, if you prefer, use
- its "consistent" form to keep track of club membership rosters,
- inventory lists and more.

- * AMAZING FILE CABINET. Literally a computerized file cabinet.
- Store and access information instantly. Performs extensive
- mathematical calculations and totals, perform custom report generation
- and produce reports with specifically ordered information.

- * AMAZING ADDRESSER just does one thing, but it does it very
- well: it keeps track of mailing lists. You can use this program to
- print mailing lables or to envelopes. You can print single or three-
- across labels as well as feed forms manually or automatically. It
- does its job very well and very quickly. It is, as the name implies,
- amazingly easy to use.

- The Keeping Track trio of programs works on MS-DOS/PC-DOS based
- compatibles with at least 256K RAM, hard disk drive (preferred) DOS
- 2.0 or above and a printer (optional). It works on all monitors.

- TERMS YOU NEED TO KNOW
- There are three terms you need to know to use this system:
-
- FILE/FILE NAME: A file is a collection of related information.
- If you have an address book, it is a file of names and addresses you
- need. Files are referred to by file names.
- RECORD: A record is one set of information in a file.
- FIELD: A field is one piece of information within a record.

- KEEPING TRACK FREE FORM DATABASE The program for which this trio
- is named, KEEPING TRACK, is the equivalent of an index card system on
- turbo. There is no prior planning required, no formatting to be done.
- Just name the file and start typing in information. Cards do not have
- to be similar in format, content, or any manner whatsoever. The
- reason for this is that KEEPING TRACK searches for information by
- string search method, which means that it will be able to locate any
- "string" of characters on the card. So if you're looking for "dog",
- the system will show you cards which contain DOG, HOT DOG, DOGMA
- etc. The advantage is that you can store information in any fashion
- you wish. This makes Keeping Track wonderful for assembling notes
- from college classes, files on friends along with addresses and phone
- numbers, research papers and more. Any time you need to KEEP TRACK of
- basic random-format information, KEEPING TRACK is the program that you
- need.

- In order to use KEEPING TRACK, perform the following steps in this
- order:
-
- 1. Specify a FILE NAME.
- 2. Perform card entry
- 3. Define a report
- 4. Generate a report
-
- Note: If you plan on using "formatted" data (ie that bearing
- similar size, context and manner), use the TEMPLATE function PRIOR to
- entering any cards.
-
- KEYWORDS section. This is where you enter words that are of
- particular interest to this card. It is possible to perform searches
- by keywords only, which will eliminate examination of all other
- information on the card.
- NUMERICAL VALUES. This is where you enter information intended
- for calculation purposes. Only numbers contained in the Numerical
- Values section may be used in math calculations in the report
- generator area.
- FIND INFORMATION You may enter any word or phrase (string)
- which you wish to find, and the system will show you any card which
- contains that word or phrase.
- PRINT CARD This is a "quick and dirty" print function when you
- just want to print out all the information on an individual card.
- This is not intended as the primary printing method of the system;
- use the report generator for more detailed reports.

- TEMPLATE CREATOR There are two types of data in Keeping Track: free
- form and flat file. The free form is the one we have discussed thus
- far: you may enter data any way you wish, with no prior planning or
- formatting. The flat file database is one where your data will be
- identical in concept from card to card.
- The flat file database must have a template, which indicates to
- the system how the data will be entered on the card. This is used
- to design a "form" for the flat file type of card.

- REPORT GENERATOR This is the most "complex" part of the system,
- but it should take minimal time for you to understand how it works.
- The report generator is really a very simple programming language.
- You indicate to the system how you want the report to look by giving
- it simple commands and it then follows those commands to generate your
- report. A report must be "created" before you can print it. The
- advantage is that you can design your report to print just about
- anything you want it to print.
- You will need to experiment with the different commands to gain a
- full understanding of them. The registered version contains a
- complete command explanation section.

- WHAT IS THE AMAZING ADDRESSER?
- This is a fast, basic, very easy to use addressing system. Unlike
- many addressing systems, this program allows you to address either
- labels or envelopes. You can sort your list by name, city or zip
- code. You can print your return address along with your envelopes, or
- leave it off. The AMAZING ADDRESSER is for those people who need a
- mailing system but don't want to pay a fortune for it, or read through
- endless manuals just to be able to print a label. You will most
- likely be able to use this program within the first 15 minutes of
- loading it on your computer (and despite having heard this from other
- manufacturers who don't live up to it, this is an honest claim)! The
- AMAZING ADDDRESSER is very easy to use.

- WHAT IS THE AMAZING FILE CABINET?
- A database is a program that allows you to store various kinds of
- information, just as you would in a filing cabinet. This program
- allows you to store any kind of information you wish. You design your
- own reports and EFC prints them either to screen or paper. Perform
- math calculations automatically. This is a terrific program for
- keeping track of those club membership lists, sales calls, basic
- inventories, and much more. The AMAZING File Cabinet is easy to use,
- versatile and fast. You'll be putting together your first database
- within the first 30 minutes of opening the program.

- The AMAZING FILE CABINET is a very easy to use "flat-file
- database" system. This means that you can store just about any
- information that you want to store. There are many programs that do
- this. Why then did we produce AMAZFILE? For several reasons:
- 1. Most databases are very complex, time consuming, and difficult
- to understand. AMAZFILE is straight forward, has relatively few
- commands, and once you have taken a small amount of effort to get used
- to the system, is very easy to set up and use.
- 2. AMAZFILE is set up just like a filing cabinet, using file
- names, records, and fields. The principles therefore are easy to
- understand.
- 3. AMAZFILE follows the command format of our other programs.
- Therefore people who are using our other AMAZING programs do not have
- to learn brand new commands.
- 4. Our clients like our support. We're only a phone call away.
- Many "big" companies charge for phone support or don't have a support
- line at all. We think support is the name of the game. Our clients
- agree.

- HOW DO YOU USE AMAZFILE?
- Basically, AMAZFILE is set up in a FILE/RECORDS/FIELDS type
- format. A "database" is a collection of similar information. This
- information is kept in a FILE. This file contains RECORDS, which are
- comprised of FIELDS. For example, an ADDRESS FILE will contain
- RECORDS of individual addresses. Those addresses are comprised of
- FIELDS (name, address, city, state, zip).
- AMAZFILE uses a COMMAND STRUCTURE form of reporting. First create
- your database. Then design your report (lay it out on a sheet of
- report layout paper first. It's easier that way). Once the data is
- entered, you may print your reports. Very easy.
- One database may have several report structures available. The
- possibilities are endless. AMAZFILE has calculated fields as well, so
- you can get it to perform math for you.

- DO NOT LET THE APPARENT COMPLEXITY OF AMAZFILE SCARE YOU.
- Examine the sample files. Read the screens. Pay attention to what
- the computer tells you. You should quickly get the hang of it.
- The shareware version is intended so that you can examine the system
- and work with some basic data files of your own creation. Remember
- that the manual (which comes with the registered version) will provide
- you with greater understanding of the program so that you can expand
- your usage of the Amazing File Cabinet.
- Also, remember that when you register you receive the KEEPING
- TRACK and AMAZING ADDRESSER programs as well-- three programs for the
- price of one!

- 1. CREATE FILE LAYOUT. This is where you specify the KIND of data
- you wish to store, including data field names, type of fields, length
- of fields, ets.
- 2. ENTER DATA.
- 3. CREATE REPORT FORM. This is where you define the layout of a
- report.
- 4. PRINT A REPORT to obtain finished information.

- This program is licensed, not sold. As such, the user/
- purchaser has the right to use the program on a day-to-day basis,
- but recognizes the ownership of the program and all materials as
- belonging to Dennis Drew.

- ARTICLE 3. COPYING AND MULTI-USER.
- This program is USER SUPPORTED. You are encouraged to copy
- the SHAREWARE diskette and give it to your friends and acquaintences.
- You may use this program freely and distribute it as you wish.
- However, the following restrictions do apply:
- 1. You may not charge a fee for this program, other than for
- the cost of duplication.
- 2. You may not alter the program or supporting items in any
- manner, may not add to or remove items from the disk.
- 3. You may not copy or reproduce in any way the instruction manual

- with $10.00 to cover cost of replacement. We will rush you a new
- diskette.
- It is recognized that the purchaser is already bound by the terms
